Actions point for data entry from 03/08 call

(1) Separation of Action and Target Group: The action and target group will be separated so that the user will first select the action via the dropdown menu and then select the target group via the next dropdown menu. The target group list will be dependent on the action selected.

  • Abyot will make this change

(2) Adding a new stakeholders:

  • Adding new stakeholders is taking a long time (10+ minutes).
  • Abyot will look at the log from Tuesday/Wednesday to identify/fix issue (in the future Kris will send the log for issues of this nature)
  • We would like to adjust the pop-up box for adding a new stakeholder to make it simpler for the user by adding a line of directions and removing the requirement for the user to enter a code.
  • Kris will send text for directions to be added to the pop-up box
  • Abyot will use the abbreviation as the code so that users do not have to enter a code.

(3) Note on right-side for when data has already been entered:

  • The note is appearing even when there is no data entered for the stakeholders (catalyst, funder, responsible ministry) and number of beneficiaries (this includes instances when there is no previously entered data / audit trail).
  • Abyot will work on fixing this
  • We would like to modify the text to be clearer about what data is already entered and what the user should do to proceed.
  • Kris will send text to be used

(4) Blank cells appear green: Cells without data are appearing green prior to data entry (see attached image). This seems to be happening when one of the unique identifier components is changed and the green is residual from a previous data entry screen.

  • Abyot will fix this

(5) District-specific partner icon and instructions: We would like to add some additional instructions for users and change the icon for the district-specific partner identification.

  • Kris will send a mock-up for text to be added under the partner columns (one sentence across all three)
  • Abyot will share a file of DHIS2 icons (the icons can also be changes for the Action Mapping Reports)

(6) “Complete”/”Incomplete”/”Run Validation” buttons at bottom of data entry form: Abyot wants to know if we have a use for these buttons. If someone clicks “Complete”, they are certifying that all of their data has been submitted and they are not expecting to do any additional data entry. We can also generate a report of which data entry screens have been started but are not marked complete so that we can follow-up as necessary.

  • We will keep these buttons with no restrictions about who can click "Complete" or "Incomplete". This way users can go in and modify past data if they need to, and we can generate a report about which sheets are complete or not.

(7) Generating completion reports: We would like a report of which stakeholders have submitted data. Reports can be run even without the “Complete” button being clicked.

(8) Access for users entering data: We want to define a stakeholder as only having Data Entry access. Once data is complete and validated, we can give them access to reports that have been verified. We assume that different users will have different user rights.

(9) Data validation during data entry: Simple data validation is needed so that values entered are not greater than the denominator. This can created through Apps -> Data Quality -> Validation Rule -> Add New where the right and left sides of the condition can be defined.

(10) Comments for values: We would like to add a comment box to the History and Audit Information pop-up box, similar to the pop-up in the original data entry module.

"object already exists"

I'm having an issue adding the actions, for some actions, I keep on getting the notification that the object already exists even though I have not yet added it nor is it in my list of data elements.

Another issue with district specific additional stakeholders

Hi @abyot - can you look into the district specific stakeholders for cases where there is more than one target group? It seems like when a stakeholder at the district level is added - that stakeholder is being added for both target groups, even if it is meant for only one.

How do I add more actions to the Mapping module?

I would like to enter more stakeholder data to the system.

It seems like the following actions have been added as Categories and have the proper target groups assigned to them:
-Promote optimal breastfeeding practices
-Promote optimal complementary feeding practices
-Provide specialized nutritious products for complementary feeding
-Provide and support treatment of MAM
-Provide deworming tablets
-Provide/support improved sanitation
-Provide/support improved water source
-Promote hygiene / hand washing
-Provide school feeding

Population coverage reporting calculations

In the sample data there are two main projects happening: (1) implemented by Rwanda Agricultural Board in 4 provinces/15 districts and (2) implemented by the Ministry of Education in 1 province/2 districts.

The Ministry of Education is marked as the responsible ministry for both projects. However, it doesn't seem like the report is aggregating the beneficiaries attributed to the Ministry of Education across both projects.

Below is what is/should be happening:

After I add the last stakeholder (Women Investment Fund) and went to add an additional stakeholder, I found that the list of stakeholders no longer has the option to add a new:

data not showing up

Hi @abyot ! I have entered my population data and situation indicators using the standard data entry module. I was trying to visualize them to see some of the legends I set up but I'm not finding any data in the system even though it's there when I go to data entry. I ran analytics and cleared my cache.

Metadata questions

Hi @abyot , I have been working on the metadata and completed all the steps we talked about. So far it has been going well but I have a couple questions for you.

  1. I couldn’t set “data set type” for any of the data sets (actions or target group) - can you look at this and let me know what went wrong...
  2. For target groups (data elements) what type value type should be used? I left it as number, but does it need to be positive integer?
  3. For category options does organization unit need to be set?
  4. Does an organization unit need to also be selected for the actions that are data elements?

SUM PMT reports

Hi Abyot, it seems the actions are not showing up in the population coverage per stakeholder report:

The actions are appearing for the other two reports.

Action points from today's call

  • Create the option for user to input "N/A" for donors, responsible ministry and catalyst
  • Change the data entry to be per action and allow for entry of data for multiple districts
  • Add secondary and tertiary options for donors and catalysts
  • Add descriptions for each of the donor roles (will be included in mock-up...)
  • Create mock-up for data entry (Kris will send this early next week)

Completeness buttons

It seems like when marking an action in a particular geographic area complete - it is then marked completed regardless of the field implementer and delivery mechanism.

We would actually want each unique action+geographic area+year+delivery mechanism+field implementer to be marked complete.

Question on completeness

If I have entered data for a couple districts in a region and completed the action (thinking that I had no more data to add). But then realize that I have data for an additional district and go back and add the data.

The completeness remains complete in this case - does the completeness now include the additional data for the additional district I added?

User role definitions

Hi @abyot - can you send me the user role definitions for the 3 roles your described (superuser, data entry and viewing, and just data viewing)?

General system appearance

  1. Interface style: Why is the user settings overriding the general setting? Did the admin set this? It doesn't seem like it's possible to "unset" the user settings so the general settings will be seen.
  2. Removing the logos: I’m not sure how to remove the SUN logo. I removed both logos under apps->settings->appearance but only the REACH logo disappeared.
  3. Adding a logo: I cannot re-add the REACH logo under apps->settings->appearance->replace image. When trying to upload a .jpg I get this “upload Image” change but the logo doesn’t appear:

Changes to text

I forgot to mention this on the call but can you also make these small changes to the English text:

  • action_mapping_reports=SUN PMT Reports
  • org_unit_action_info=The organization unit refers to the geographic administrative units for a country. Using the menu on the left, select the geographic unit directly above the level at which data will be entered.
  • loading_metadata=Loading metadata
  • who_does_what_heading=The table below presents the all delivery mechanisms and stakeholders for each action. Use the "Report Filters" to selected the geographic area, year and actions to display.

Let me know if you need to know where in the system these are - I just changed these from the translation file we were using.

Data viz and GIS questions

  1. I'm not able to get the filters for field implementer and delivery mechanism to work. No data is appearing, despite the arrangement used. Can you make a couple graphs or walk me through this.
  2. For the indicators that are displayed in graphs and maps, can the numbers be displayed as % instead of just numbers?
  3. When making a bar graph of districts, is it possible to group and label the district values by province? (either by making them a different color per province or having some sort of label)

Adjustments to reporting tables

  • Can you adjust the organization unit name above the table on all the reports so that the text is larger? To some size that is between what it is now and the size of the "Who Does What" report title in this image:

  • Can you also adjust this text to include more information so that when the table is downloaded the content of the table is clear? So the table title would be: organization unit - name of report (role - if applicable)
    Ex1: Rwanda - Who Does What
    Ex2: East - Geographic coverage per stakeholder (funder)
  • When downloading the excel version of the reports - this happens:

    Can you advise on how to address this?
  • For the Population coverage per stakeholder report - can you fix the table so that it can scroll like the geographic coverage report?
  • Can you also remove the "0%" from the population coverage table - like with the geographic coverage report? So that when there is no data reported for an action/stakeholder, then the cell is blank.

Action points from 09/08 call

A couple points from the call last week:

Data entry: District and target group specific stakeholders:

  • New text to include target group specific stakeholders: "If stakeholders differ across the geographic areas and target groups below, use the icon to modify the stakeholders supporting each area and/or target group." (see updated mock up)
  • Need override warning when changing stakeholders at district level - what will this function look like?

Reporting:

  • When downloading report in excel format, cell boarders are needed
  • When downloading report in PDF format print option opens - can the report download to a PDF document directly? If not, this is ok since most users won’t download as a PDF.
  • Format of PDF - Abyot will try to find standard libraries to address formatting
  • We can tag the category as a “field implementer” so that the system can identify them. Abyot will then add the Field Implementer option to the stakeholders list in this reporting tab.
  • Error when changing the geographic area, duplication of action occurs

defining data elements

When defining a data element, I have been completing the following aspects of the form:

  • Name: <action+target group> or
  • Short name: short version of <action+target group> or
  • Domain type: Aggregate
  • Value type: number
  • Aggregation operator: sum
  • Aggregation level: national, province, district (data will be collected at the district level from each stakeholder)

Is this correct? Should I be using other options and/or completing more of the form?

Action point from call 22/08

Data entry

  • Completeness buttons: please remove the completeness buttons next to each district, keeping only the buttons at the bottom of the page and change the completeness button text to: "Mark Complete" and "Mark Incomplete"
  • Format of table: Can you change the format of table for entering beneficiary data so that the icons for beneficiaries are in their own column? LIke this:

  • Edit to text: Can you modify the text below to be "If stakeholders differ across the geographic areas and target groups below, use the [icon] icon to modify the stakeholders supporting each area."

  • Can you clear all the data currently in the mapping component of the tool for 2014? Not the target group or situation indicator data!!

Reporting section

  • No data: When there is no data for a particular organization, can 0% show up? If there is no data for that action reported at all - the action will appear grey (I think this is what we discussed in the meeting last week?)
  • Size on page: increase the filter section to be 100% of page so that the boxes with the actions can be more easily read. Can you provide two options, one where the text is wrapped and there are zebra stripes in the list. The other where the text is not wrapped.
  • Calculation of coverage adjustment: can you adjust the coverage calculation for when the "reporting level" is selected to be "district level" or "province level"

Other actions point from 03/08 call

(1) Language:

  • For the Action Mapping Module, we will need to create a translation file for each language. This file is a dictionary file that we can add to the system and the user can go into the settings and select the language to be used in the interface.
  • Abyot will share the English translation file so we can work on creating French and Spanish versions of the file to be added to the system.
  • For the meta-data, we will provide a standard meta-data file in each language and each country will be responsible for further customization of actions, target groups, etc. outside of the basic meta-data package we will provide.
  • Kris and Chloe will make sure that these are provided.
  • For the guidance material, since we will have to create a mini specialized guide for the Action Mapping module, we will need to have this translated. Other guidance for the mapping/SUN PMT process can already be found in French. And general DHIS2 guidance can also be found in other languages.

Data not be recorded

When entering data, I entered data but found that the beneficiary numbers entered have disappeared when I go back to the same unique identifier:

District-specific stakeholders

(Hi Abyot - I'm back!!)

I'm finding an issue when entering stakeholders specific to the district level. I am encountering an issue when I do the following:

For the unique identifier:
Org unit: North
Action: Carry out nutrition education
Year: 2014
Delivery Mechanism: Community
Field Implementer: Society for Family Health

I first entered the additional stakeholders as follows:
Catalyst: Catholic Relief Services, Rwanda Nutrition Society
Funder: Scaling up Nutrition Multi-Partner Trust Fund
Responsible Ministry: Ministry of Health

Then for 2 districts (Gakenke and Musanze) I wanted to change the additional stakeholders to the following:
Catalyst: (blank)
Funder: USAID
Responsible Ministry: Ministry of Health

Which I did but when I left and returned to the action I found the additional stakeholders to be the following:
Catalyst: Catholic Relief Services, Rwanda Nutrition Society
Funder: USAID
Responsible Ministry: Ministry of Health

I think that one of the reasons this may be happening is that when you open the additional stakeholders for a district the stakeholder you have entered are not present. You have to leave the action and come back for them to appear.

Ideally, it would be good if the additional stakeholders would show up right away in the district-specific pop-up so they can be modified properly the first time through.

missing actions

Hi Abyot - it seems like only the school feeding action remains in the system. Can you add the other actions?

List of stakeholders not coming up

Hi @abyot , in the SUN PMT data entry the stakeholders for the catalyst, funder and responsible ministry are not coming up! I thought I had made all the links but I guess not. Can you take a look and let me know where I'm going wrong?

Visualizations and maps

A couple points I would like to review in our meeting today:

  1. I cannot see data that I have input while in visualization, pivot tables or maps. Can we review this? There is probably a small step I'm missing.
  2. How to you upload data via .CSV (or other type of file)? I have a lot of situation indicator data in excel and it would be faster/more accurate to be able to upload than to input by hand.

Data set type

Hi @abyot - Can you look at the data set type? The actions that are assigned to the SUN PMT module are still showing up in the standard data entry.

visualization questions

Hi @abyot ! I see that 2.25 has come with some different features in visualizations. I like the change to the legends - they are much easier to read now if the item has a long name.

I have a couple questions.

  1. How do I get rid of the subtitle (report filter), here:

Data appearing under incorrect field implementer

I entered the following data for field implementer (different delivery mechanisms):

When attempting to enter data for another field implementer, I found that there was already data present that matched the previously entered data.

I didn't enter this data and the numbers and districts match the data I had entered for the first field implementer. Can you check why/how this is happening?

Searching for stakeholders by full name and abbreviation

It seems like you usually have to search for the stakeholders full name in order to find it (i.e. typing UNICEF does not produce the United Nations Children's Fund). However, it seems like it is searching both in the following case:

is it possible to be able to search for a stakeholder using either the full name or the abbreviation?

Reports and Stakeholders

We have the following reports based on stakeholders
Who does what
Geography coverage per stakeholder
Population coverage per stakeholder

Are we expecting any other analysis, report, output based on stakeholders?

Also, can we stick to the current format/layout of reports on stakeholders?

Actions point for reporting section from 03/08 call

(1) Descriptions of reports on the home page of the Report section:

  • Kris will send text for descriptions under the three reporting options on the home page of reports

(2) Organization unit options for all reports: The user will be given the option to view the report at the selected organization unit or at one level below (e.g. if national level is selected, the user will have the option to run the report for the national level or for all organization units that one level below the national level).

  • Abyot will make this change

(3) Context for all reports: We would like to add a description for each report that is generated in order to support the interpretation of the data presented. This will be especially important for the geographic coverage data, which is often hard to interpret. In addition, viewers should know that there could be multiple stakeholders doing the same action and that they should not add/sum across stakeholders.

  • Kris will send mock-up/text for each report

(4) Order of columns on Who Does What report: Request to reorganize the columns so that all the stakeholder roles are together and the delivery mechanisms column is at either end of the table. The stakeholder roles can be in any order as long as they are grouped.

  • Abyot will make this change

(5) Field Implementer option for both Population and Geographic Coverage per Stakeholder reports: We would like to add field implementers to the possible reports.

  • Abyot will try to do this – it may be difficulty considering that the field implementer data is different from the other stakeholder data

(6) Population Coverage per Stakeholder reports: We should be able to run the population coverage per stakeholder report at the district level because we have district level data. Currently, there is a message saying that a higher organization unit needs to be selected.

(7) Downloadable reports: We would like to be able to download the reports as PDFs or Excel files.

How do you add new stakeholders under the responsible ministry role?

I have added two more stakeholders, both ministries - how do I get them to appear under the responsible ministry role?

The ministries are Ministry of Infrastructure and Ministry of Disaster Management and Refugee Affairs

(I accidentally left these off before - we still would assume that the country would provide a full list of ministries with the initial metadata)
