Basics

This repository is used to store project management documenatation for the City of Boston's newsletter / email marketing projects. We currently use Upaknee as our email marketing tool.

Documents about our overall email plans can be found in the wiki.

We also use the issues section to track feature requests and bug fixes with Upaknee.

Content Type Movement Revisions

Make it easier to reposition content components once they have been "dropped into" the email. Right now, we need to click just to bump it up one step higher. While drag-and-drop would be ideal, any more intuitive/quicker solution would help.

Remove Suspend Button

One further addition: The Suspend Button. Since Upaknee shoots out emails so fast, we're thinking that the Suspend button should either clarify what it does, or maybe not exist. We don't want folks to think they can effectively stop a campaign when, in truth, once it's out, it's pretty much unstoppable.

Widget: Confirmation Status Logic

We have implemented within our form builder the ability to identify a New User/Pending User/Existing User which helps us resend confirmation emails or alert individuals to check for one vs. someone who is simply updating their subscriptions.

We will be investigating on our end if we have the possibility to transfer such logic for you to use via your in-house widget.

Remove Boxes

There are a lot of 1px light grey boxes around a lot of the components. Is there a way to remove them?

Fix Logo Padding

It appears in the template that we have a lot of padding and spacing between the logos. Please provide a new image for us to use within the template.

Preheader Fixes

Right now "preheader content" text field is buried under "Edit social media sharing options," but this is a prominent field we will consistently want to change when sending emails. Thus, we'd suggest surfacing it much higher in the hierarchy--maybe even moving it to the previous step, below where we author the subject line. In MailChimp, it is presented as a box above the email pane itself, making it a clear area to click in and edit.

Template Fonts: Fall Back font for Heading & Body

We have designed this template to have a fall-back font as "Arial" in the case that Monsteraat and Lora can't be supported. It appears that something within the font-configurations resets the fall-back to Times New Roman when you alter the heading/body.

We are investigating this to ensure that if any case requires a change in the font-configuration, the fall back remains arial throughout the template design experience.

Campaign Creation Process : Clarify Steps

Add numbers to each step of the process of creating an email, as we've noticed you do on the phone, in order to make it feel more like a logical step-by-step and making it easier to troubleshoot (i.e. "I am on Step 2, in the subject line field.") Right now, the small blue/grayed out tabs don't obviously track to the steps.

Preference Center Update

This makes tickets #2 #3 #4 and #7 obsolete so I'm closing them.

We erred in our assumptions around the preference center. We won't be building a larger communications and notifications hub for a while, so our general preference center needs to serve both non-authenticated and semi-authenticated subscribers.

Multiple User Revision

Make Multiple User warning more informative: rather than just say "Warning: Multiple Users", put in the full warning: "Multiple users editing at the same time will result in changes being lost." Potentially make this warning much larger as well.

Upload our own contacts and move them into active status

As we go through out initial set up, we're happy to be going through a manual set-up, sending you all our list information. In time, we'd prefer to be allowed to upload and update our lists directly (recognizing you'd need to impose some guardrails to that process.)

Dynamic footer

Currently, address information in the footer of an email is static across the organization.

A number of our editors have asked for that information to be custom to their department. Please create fields in the preference menu for

Phone (plain text field)
Hours & Directions link (this is a place they can paste a url)

"Add Section" 3 columns button does not correspond with content type that appears

Right now, when a user presses the 3 columns button...

..a content type of 3 columns WITH PHOTOS is created.

There is not currently a 3 columns without photos option.

We would like to change the button to reflect that pictures will be included and, if possible, create a new "3 column without photos" content type and corresponding button.

This would basically be a 3 column version of what we already have for 2 columns, which works well.

Social Follow Content Type

We'd like a special content type that departments can use to highlight their social channels.

Ideally, this would be a small series of icons they can customize by inputting links. I've attached screenshots of how Mailchimp does this, which is a good implementation.

This is doable with some current tools, but I'd like something with a bit tighter guardrails and that is a bit easier.

Final Send Button: Change Colour

Right now, in the middle of the process of sending an email, there is a green “Schedule and Send” button. Green makes users think that this is the last step--that an email is going to go. We would suggesting making that button blue or gray, and making the actual, final “Send” button green.

Cut and Copy don't appear as options in text editor

What happens now

When using the WYSIWYG text editor, the "cut" and "copy" options don't appear highlighted when a user right-clicks. I can train folks to ctrl+X, but the fact that the menu drops down with grayed out options is weird.

What should happen

The dropdown menu should either allow cutting, copying, and pasting, or the options should not appear. Ideally, they should appear.

We're having users getting a bit too creative.

Can you remove:

  • Edit color scheme
  • Edit font configuration
  • Edit social media sharing options
  • Enter advanced editing mode

Can't swap out photos

Using the single photo content block, I can easily add a photo but once it's there I can't swap it out for a different one.

Preference Center Header

Something in the CSS is messing up the header. You can see there’s a 5 px spacing under the hamburger and the text (Public Notices, Pay and Apply, and Feedback) are all shrunk. Seems like you are pulling in the assets correctly (looks ok on newsletters.boston.gov) but something about the clickthrough messes it up.
